Purpose
Diagnostic Radiology Services is committed to providing timely and efficient diagnostic imaging services to all patients. This Appointment & Cancellation Policy helps ensure that appointments are scheduled and managed effectively so that patients receive the care they need without unnecessary delays.
Scheduling Appointments
Appointments may be scheduled through the following methods:
- Referral from a physician or healthcare provider
- Telephone appointment booking
- Online appointment request through our website (where available)
- In-person scheduling at any Diagnostic Radiology Services location
Certain imaging services may require a physician referral or medical order before an appointment can be confirmed.
Patients may be asked to provide the following information when scheduling an appointment:
- Full name and date of birth
- Contact information
- Referring physician details
- Insurance or billing information (if applicable)
- Relevant medical history required for the imaging procedure
Appointment Confirmation
Patients may receive appointment confirmations through:
- Phone calls
- Email notifications
- SMS reminders (where available)
It is the patient’s responsibility to ensure that contact information provided is accurate and up to date.
Arrival Time
Patients are encouraged to arrive at least 15–30 minutes before their scheduled appointment time to allow for:
- Registration
- Completion of required forms
- Preparation for imaging procedures
Late arrival may result in the appointment being rescheduled if it interferes with the clinic schedule or patient preparation requirements.
Preparation for Imaging Procedures
Certain imaging services (such as CT scans, MRI scans, or specialized examinations) may require specific preparation instructions, including:
- Fasting requirements
- Medication adjustments
- Avoiding certain substances
- Bringing previous imaging records or referrals
Patients are responsible for following any preparation instructions provided by Diagnostic Radiology Services. Failure to do so may require the appointment to be rescheduled.
Cancellation Policy
If you are unable to attend your scheduled appointment, we ask that you notify Diagnostic Radiology Services at least 24 hours in advance.
Providing advance notice allows us to offer the appointment slot to another patient who may be waiting for diagnostic imaging services.
Appointments may be cancelled or rescheduled by contacting our office directly.
Missed Appointments (No-Shows)
A missed appointment occurs when a patient does not attend a scheduled appointment and has not provided prior notice.
Repeated missed appointments may result in:
- Delays in scheduling future appointments
- Additional administrative requirements before rescheduling
- Possible cancellation of pending appointments
Diagnostic Radiology Services reserves the right to manage appointment availability to ensure fair access for all patients.
Clinic Cancellations or Rescheduling
In rare circumstances, Diagnostic Radiology Services may need to reschedule appointments due to:
- Equipment maintenance or technical issues
- Staffing requirements
- Emergency situations
- Other operational considerations
If this occurs, we will make reasonable efforts to notify patients as soon as possible and arrange a new appointment at the earliest available time.
Referrals and Imaging Results
Diagnostic imaging services are typically performed based on a physician referral.
Once imaging is completed:
- Reports are prepared by a qualified radiologist
- Results are sent to the referring physician
- Patients should follow up with their healthcare provider to discuss results and treatment recommendations
Diagnostic Radiology Services does not provide direct medical diagnosis or treatment through appointment scheduling services.
Patient Privacy
All personal and medical information collected during appointment scheduling is handled in accordance with the Diagnostic Radiology Services Privacy Policy and the Data Protection Act 2019.
